An online appointment system does three things: it takes bookings while you are closed, it sends reminders on its own, and it stops double bookings.
The gain is not only time. It is that you stop losing customers who rang, got no answer, and went to the next name on the list.
Want to see how much time you lose today?
Tell us how many appointments you book each week and we will work out the cost in hours and in euros.
What the phone costs you today
Run the sum with your own numbers.
| Item | Example |
|---|---|
| Appointments per week | 60 |
| Minutes per call (including changes) | 3 |
| Hours per month on the phone | ≈ 12 |
| Gross hourly cost | €15 |
| Cost per month | ≈ €180 |
And that is only the time. It does not count the calls missed while you are with a customer, or the appointments never booked because someone rang at ten at night.
In most appointment-led sectors, 30%–40% of booking requests arrive outside opening hours.
What it solves in practice
| Problem | What changes |
|---|---|
| Calls missed while you work | The customer books themselves |
| Double bookings | The calendar updates in real time |
| Last-minute cancellations | Automatic reminders and a cancellation policy |
| “When are you free?” | The customer sees availability |
| Gaps in the schedule | A waiting list that fills cancellations |
| No idea who has been before | Customer history in one place |
The last one is underrated. A booking system is, without saying so, a small customer database.
How to cut no-shows and gaps
Last-minute cancellations are the most expensive problem in an appointment business: the hour is lost and cannot be sold twice.
The four moves that work:
- A reminder 24 hours before, by SMS or messaging app. It is the single change with the largest effect.
- A second reminder 2 hours before for sectors with high no-show rates.
- Easy cancellation by the customer. It sounds counterproductive, but an hour freed up early can be sold again.
- A deposit or card hold for expensive services, or for customers with a history of not turning up.
Add a waiting list too: when someone cancels, the system automatically notifies whoever was waiting. The gap fills without a single phone call.
What a system must include
| Feature | Why |
|---|---|
| Works on mobile | That is where most bookings happen |
| Syncs with your calendar | So you do not double book |
| Different duration per service | A colour does not take as long as a cut |
| Multiple staff or resources | Per employee, chair or room |
| Automatic reminders | The main driver of fewer no-shows |
| Holidays and time off | Without it, bookings land during your break |
| Local language and phone formats | So the customer is not confused |
| Data export | So you are not locked into one provider |
“Holidays and time off” looks minor and is the most common complaint after setup.
Ready-made tool or built into the site?
| Ready-made platform | Built into your site | |
|---|---|---|
| Start-up cost | Low or none | €400 – €1,500 |
| Monthly | €15 – €60 | €0 – €20 (licences) |
| Appearance | The platform’s | Yours |
| Data ownership | With the platform | Yours |
| Flexibility | Limited | Full |
| Time to launch | One day | 1–3 weeks |
The practical rule: start with a ready-made tool. If it constrains you a year from now, then discuss integration. It is the same logic as the first steps in digital transformation — automate one flow, measure, then extend.
What does it cost?
| Component | Indicative range |
|---|---|
| Ready-made platform subscription | €15 – €60 per month |
| SMS reminders | €0.04 – €0.08 per message |
| Setup and configuration | €200 – €800 |
| Integration into your site | €400 – €1,500 |
| Payment connection (deposits) | €150 – €400 |
The payback sum is simple. If the phone costs you €180 a month in time and no-shows cost another €200, a €30 subscription pays for itself in the first week.

Setup in five steps
- Write out your services with real durations and prices. This step determines everything else.
- Set your hours and breaks, realistically.
- Configure reminders: 24 hours before, and a second one if needed.
- Write your cancellation policy in two sentences, visible before booking.
- Test it yourself from a phone, as a customer, before you announce it.
The fifth step catches half the problems. Book an appointment, change it, cancel it.
Where to put it so people find it
A system nobody sees changes nothing.
- A booking button on your Google Business Profile. People see it before they even reach your site — see how the profile works as a sales tool.
- A link in your social media bio.
- A button on every page of the site, not only the contact page.
- An automatic DM reply carrying the link.
- A QR code on the premises, for next time.
A word on data
A booking system holds names, phone numbers and visit history. Data protection rules apply: a privacy notice, a lawful basis, a contract with the provider and a retention period.
If you work in healthcare the requirements are stricter — health data is a special category and needs additional safeguards. Do not put clinical details into free-text notes fields.
The general framework is in our guide to GDPR and your website.
Frequently asked questions
Will I lose the personal contact with customers?
No. The phone stays for those who prefer it. The system covers the people who would rather not disturb you.
What about older customers?
They carry on ringing, and that is fine. In practice the two channels sit alongside each other.
Do I need deposits?
Only if you have a no-show problem or sell expensive services. Start without, and add them if needed.
Does it connect to my calendar?
Most tools sync with Google Calendar and similar. Ask explicitly before you choose.
Can it also remind people about their next appointment?
Yes, and it is among the most profitable automations — see the others in AI automations.
The first step
For one week, count how many calls you take purely to arrange appointments, and how many of those arrive outside opening hours.
If the second number is above a third, a booking system will pay for itself before you have got used to it.
