How to cut no-shows and gaps

Last-minute cancellations are the most expensive problem in an appointment business: the hour is lost and cannot be sold twice.

The four moves that work:

  1. A reminder 24 hours before, by SMS or messaging app. It is the single change with the largest effect.
  2. A second reminder 2 hours before for sectors with high no-show rates.
  3. Easy cancellation by the customer. It sounds counterproductive, but an hour freed up early can be sold again.
  4. A deposit or card hold for expensive services, or for customers with a history of not turning up.

Add a waiting list too: when someone cancels, the system automatically notifies whoever was waiting. The gap fills without a single phone call.

A word on data

A booking system holds names, phone numbers and visit history. Data protection rules apply: a privacy notice, a lawful basis, a contract with the provider and a retention period.
